Partner Settlements

This page is an overview of partner settlements and commissions. The branch can pay the partner with this page. This page deals with all kinds of reimbursements and recoverable amounts.

This page is used to record partner cash deposits. Use TopUp Partner Wallet for deposits. 

View Payment Settlement Page

To view the payment settlement page, go to the branch ledger option and then the settlement page inside the tab.
The overview shows a detailed list of pending payouts against which customers and partner names. The amount and type of transaction.

Pending Payouts: The amount shows what needs to be paid out to partners. It also shows how many settlements are remaining and through which partner

Settled: Amount that has already settled

Recoverable: Amount that has to be recovered from the partner. 

Settlement Types

Type Meaning
Commission Amount earned by a partner or upline partner.
Branch-collected reimbursement The branch collected customer money that belongs to the partner.
Partner-collected payment The customer paid the partner directly; tracked for reporting.
Clawback / recoverable The partner owes money back because a previous payout must be recovered.
Package or tax charge Charge record connected to service funding or tax handling.

Settlement Statuses

Status Meaning
Pending Waiting to be paid or processed.
Settled Already paid or completed.
Reversed Cancelled because the source event was reversed.
Recoverable Already paid before, but now needs recovery.

Settle To Wallet

Use this when you want to pay pending settlements into the partner wallet. Select the settlement check box. A box will appear, click on the wallet credit, and pay the partner.

Example:

  1. Partner has $120 pending commission.

  2. Select the settlement.

  3. Choose to settle the wallet.

  4. Partner wallet increases by $120.

  5. Settlement becomes settled.

  6. The branch-funded reserve does not change.

This is not new cash. It is a payout of an existing payable.

Settle By Bank/Cash

Use this when a partner is paid outside the wallet.

Example:

  1. Partner has $120 pending commission.

  2. The branch pays by bank transfer.

  3. Record payment method, account, mode, reference, and notes.

  4. Settlement becomes settled.

  5. Partner wallet does not change.

Branch-Collected Reimbursement

This happens when the branch receives customer money that belongs to a partner-owned invoice.

Example:

  1. The customer's invoice is $100.

  2. The partner owns collection responsibility.

  3. The customer wallet pays $40, or the customer later pays the branch $40.

  4. The branch now owes the partner $40 reimbursement.

  5. A pending partner settlement is created.

Partner-Collected Payment

This happens when the customer pays the partner directly.

Example:

  1. Customer owes $60 on partner-owned customer A/R.

  2. The customer pays the partner $60.

  3. The invoice due decreases by $60.

  4. No branch cash is recorded.

  5. No branch reimbursement is created.

Clawbacks And Recoverables

A recoverable amount appears when the branch has already paid the partner, but later the source payment is refunded, reversed, or adjusted.

Example:

  1. The branch reimbursed the partner $40.

  2. Later, the customer's payment is refunded.

  3. The paid reimbursement needs recovery.

  4. A recoverable/clawback item appears.

What To Check Before Payout

  • Settlement status is pending.

  • The partner is correct.

  • The amount is correct.

  • The payout method is correct.

  • Wallet payout is intentional.

  • External payout has a reference number and notes.

Common Mistakes to Avoid

  • Treating settlement-to-wallet as a cash receipt.

  • Paying recoverable items as if they were payable.

  • Paying the wrong partner.

  • Paying pending settlements before refund/reversal disputes are resolved.
